Writing and scheduling posts
The composer from start to finish: text, photos, networks, time and AI help.
Opening the composer #
Tap New post on the Calendar or on a client's overview. You can also start from a campaign, from photos picked in Media, or from a festival on the Calendar.
Writing a post, step by step #
- Post to: all of the client's connected accounts start ticked. Untick the ones you don't want.
- Photos and videos: tap Add files, From library or From Canva. Use the arrows to change the order, the crop button to resize a photo, the bin to remove one. Up to 35 files.
- Caption: this text goes to every network. The counters show how many characters each network allows.
- When: pick a day and time, the Next free slot, or As soon as it's approved.
- Check the Preview for each network, and the Checks under it.
- Tap the main button at the top. It says what happens next: Send for approval, Send to client or Schedule post.
Tip
Not finished? Tap Save draft. Only the team sees drafts. The X button closes without saving.
Editing a post that's further along
You can edit a post until it starts publishing. Saving changes to a post that was in review, with the client or scheduled turns it back into a draft, so it gets approved again.
A different caption for one network #
Under the caption, each account has Write a separate version. Use it to shorten the text for Bluesky, add hashtags only on Instagram, and so on. Use the main caption undoes it.
- Share as Story (Instagram and Facebook): one photo or video for 24 hours. Stories don't show the caption.
- First comment (Instagram, Facebook, YouTube, Threads): posted as a comment straight after the post. Good for hashtags or links.
Writing with AI #
When an admin has turned on the AI writer, you'll see Write with AI.
- Say what the post is about, like "20% off all tea this Diwali weekend".
- Pick a tone (Friendly, Professional, Playful, Festive, Bold, Informative) and a language (English, Hindi, Hinglish, Gujarati, Marathi, Tamil).
- Tap Write 3 options, then Use this caption on the one you like. Write 3 more gives new ideas.
Suggest hashtags reads your caption and offers up to 12. Tap one to add it.
Careful
AI can get things wrong. Check facts, prices and dates before sending. Each person can make 20 AI requests every 10 minutes.
Choosing the time #
- Pick a time: in the client's timezone, in 15-minute steps. The chips suggest good times. Once a client has 12 measured posts, they show the client's own best times and how much better they do.
- Next free slot: the client's first unused posting time in the next four weeks. Set posting times in the client's settings first.
- As soon as it's approved: it goes out the moment the last approval arrives.
- Repeat: every day, week or month, until a date if you like. After each one goes out, the next is scheduled automatically.
More options #
- Campaign: group the post with others, like "Diwali 2026". Pick one, or make a new one right here.
- Shorten links to count clicks: appears when the caption has a web address. It swaps each address for a short link that counts clicks and adds campaign tags. Clicks show on the Links page.
When the checks say no #
The composer won't send a post a network would refuse. The checks tell you what to fix:
- Too long for a network: shorten it, or write a separate version for that network.
- A network needs a photo or video (Instagram, Pinterest) or a video (YouTube).
- Too many files: Bluesky and Mastodon take 4; Instagram and Facebook 10; YouTube, Pinterest and Google 1.
- An account needs reconnecting.

Many posts at once: bulk upload #
- On the client's overview, tap Bulk upload, then Download template.
- Fill in one row per post in Excel or Google Sheets: date, time, caption, networks (or "all") and media (file names from the Media page, separated by |). Save it as CSV.
- Tap Choose CSV file. Each row shows Ready or Skipped with the reason.
- Tap Create N posts, or Save N drafts to finish them later.
Up to 200 posts per file. Reviewers get one email for the whole batch.
