Clients and their accounts

Adding a client, connecting their Instagram, Facebook and more, and posting times.

Adding a client #

Admins and managers can add clients.

  1. Go to Sidebar , then Clients , then Add client .
  2. Type the Client name. Add a Logo (a square PNG, JPG or WebP under 2 MB) and a Brand color if you like.
  3. Pick the client's Timezone. Every time you see for this client is in it.
  4. Choose the approvals (below), tick the team who work on it, and tap Add client.

Choosing how posts get approved #

  • Team approval: a manager approves each post before the client sees it.
  • Client approval: the client approves each post before it's scheduled.

Both are on for a new client. Turn either off to skip that step. The Clients list shows the choice: "Team, then client", "Team only", "Client only" or "No approval".

Other client settings #

  • Team: tick the managers and team members who work on this client. Admins reach every client anyway.
  • Monthly report: switch on Email the report on the 1st to send last month's report, with the PDF, to the client's logins. Add more addresses under Also send to, one per line.
  • Posting times: the client's regular slots, like Monday 10:00. Up to 28 a week. They power Next free slot in the composer.
  • Notes: tone of voice, hashtags to use or avoid, anything the team should know.

Change these any time with Edit on the Clients list, or Edit client on the client's overview.

Archiving a client #

When a client leaves, an admin can open the menu next to them on the Clients list and choose Archive. They disappear from every list and their work pauses. Switch to Archived and tap Restore to bring them back.

Connecting the client's accounts #

Open the client, then Accounts , then Connect account . Admins and managers can connect accounts.

  • Sign in with {network}: sign in with an account that manages the client's page, then tick the client's pages under Choose accounts and tap Connect selected.
  • Paste a token: for Bluesky, Mastodon, Telegram, Discord and WhatsApp. Follow the steps in the sheet and tap Connect.
  • Sign in · your team only for now: the network hasn't approved the agency's app yet, so only the agency's own accounts can connect.

Connecting many clients at once #

If one login manages many clients' pages, like the agency's Facebook account, connect them all in one go.

  1. Go to Sidebar , then Clients , then Connect many accounts .
  2. Choose Sign in with … for the network, and sign in once.
  3. Every account that login reaches is listed. Pick the client for each one; clients are already picked where the names match. Leave Don't connect for anything that isn't a client's.
  4. Choose Connect. Each account lands on its client's Accounts tab.

Tip

Accounts a client already has are refreshed at the same time, so one sign-in also fixes every "Needs reconnecting" for that network.

Keeping accounts connected #

Each account shows Connected, Needs reconnecting, Error or Disconnected. When one breaks, the page says how many posts are waiting for it. Tap Reconnect and sign in again.

When a connection will expire within 7 days, you'll see the date. Reconnect before then. The Dashboard's Health column shows every client at a glance: Healthy, No accounts, Needs reconnect or Failing.

Careful

Disconnect stops every post scheduled to that account until someone reconnects it.
