Team and workload
Inviting people, their roles, and seeing who has too much on.
Inviting someone #
Admins invite everyone: the agency team and the clients' own people.
- Go to Sidebar , then Team , then Invite someone .
- Type their Name and Email.
- Add a WhatsApp number if you like, starting with + and the country code, like +91 98765 43210. Clients with a number can approve posts on WhatsApp.
- Pick their Role. See Who can do what.
- Under Works on, tick their clients. For a client login it says Reviews posts for, and one must be picked.
- Tap Send invite. They get an email with a Set your password button, and show as Invited until they sign in.
Tip
The invite link lasts 24 hours. If it ran out or got lost, open the ⋯ menu next to the person and choose Resend invite.
Changing someone's role or clients #
On the Team page, open the person, change their details, role or clients, and save. Nobody can change their own role.
Search by name or email, and switch between Everyone, Agency and Clients to find people quickly.
When someone leaves #
On the Team page, open the ⋯ menu next to them and choose Deactivate. They can't sign in any more and get no emails or messages, but everything they did stays. You can reactivate them later. You can't deactivate yourself.
The workload page #
Managers and admins can see who has too much on at Sidebar , then Workload . Choose 7, 30 or 90 days at the top.
At the top
- Posts published by the team in that time.
- Overdue approvals: posts waiting too long.
- Typical reply time: how long customers usually wait for an answer in the inbox.
- Open, nobody assigned: inbox conversations that nobody has picked up. Tap to open the inbox.
By person
- Posts written, with a bar comparing everyone's load.
- Published, Upcoming (scheduled), In review, and To fix (changes requested, waiting on them).
- Approved: posts they approved.
- Open chats: inbox conversations assigned to them.
- Replies and Typical reply: how many customers they answered, and how fast. Timing starts at the customer's first message and stops at the first answer.
Overdue approvals
Posts waiting more than 24 hours for the team, or 48 hours for the client, oldest first. Tap one to open it.
Good to know
Answers sent from Instagram's or WhatsApp's own apps stop the clock, but aren't counted for anyone, because Zapket can't tell who sent them.
