Approvals

How a post goes from draft to approved to published, including approvals on WhatsApp.

The journey of a post #

Every post has a status. You'll see it as a coloured label on the calendar, the Approvals page and the client's overview.

  1. Draft. Someone on the team is still writing it. Only the team can see it.
  2. In review. The writer sent it for approval. It waits for a manager or admin.
  3. Waiting on client. The team approved it, and now the client checks it. Clients who don't review posts skip this step.
  4. Scheduled. Approved by everyone. It goes out on its own at the chosen time.
  5. Published. It's live on every network you picked.

Along the way a post can also be:

  • Changes requested: a manager or the client asked for something to change. The writer gets an email with the note, fixes it and sends it again.
  • Publishing: it's going out right now.
  • Partly published: it went out on some networks but not all. The post shows which failed and why.
  • Failed: it didn't go out anywhere. The writer and the approver get an email and a phone notification, and can use Try again on the client's overview. See When something goes wrong.

Sending a post for approval #

  1. Write the post in the composer, pick the accounts and the time.
  2. Tap the main button at the top. Its name tells you the next step: Send for approval (to a manager), Send to client, or Schedule post when this client needs no approval.
  3. The client's managers get an email and a phone notification. If the client has no managers, every admin does.

Managers and admins

When a manager or admin sends a post on, that counts as the team's approval, so it goes straight to the client or to scheduled.

Tip

Uploading many posts at once with bulk upload sends one email for the whole batch, not one per post.

Approving as the team #

Managers and admins approve posts on the Sidebar , then Approvals page, under To approve. Tap a post to see its text, photos, how it looks on each network (Preview for) and its history.

  • Approve and send to client, or Approve and schedule when the client doesn't review posts.
  • Request changes sends it back to the writer. Write in Comment first, so they know what to fix.
  • Add comment leaves a note without deciding. Edit post opens it in the composer.

After each decision the next waiting post opens. The other tabs show posts With clients and posts with Changes requested. Team members see the same page as In team review, to follow their posts.

Changed your mind?

Right after approving, a message appears with Undo. You can undo for 5 minutes, as long as nothing else has happened to the post.

An approved post with no time, or a time that has already passed, goes out straight away.

Approval by the client #

Each client's settings say whether the client approves posts too. When they do, the client is told in three ways:

  • An email with a Review the post button.
  • A notification on their phone, if they turned notifications on.
  • A WhatsApp message, if the agency turned on approvals on WhatsApp and the client has a WhatsApp number on the Team page.

Client said yes on a call?

On the Approvals page, under With clients, a manager or admin can tap Mark client-approved. Write how they approved first, like "Approved on WhatsApp".

Client slow to answer? Remind client sends the email again, once an hour at most.

Approvals on WhatsApp #

Many clients answer WhatsApp faster than email. When approvals on WhatsApp are on, Zapket sends each post to the client's WhatsApp from the agency's own number, with a Review post button.

  1. The client taps Review post. A page opens with the post, no password needed.
  2. They choose Approve, or write a comment and choose Request changes.
  3. The team sees the answer straight away, just as if the client had used the app.

Keeping it safe

Each link works for one post, one time, and stops working after 7 days. It stops early if the post changes status or the person is no longer on that client.

Keeping approvals moving #

Managers and admins can see every post that has waited too long on the Sidebar , then Workload page: more than 24 hours for the team, or 48 hours for the client. See Team and workload.
