When something goes wrong

A post didn't go out, an account disconnected, a message didn't arrive: what to do.

A post didn't go out #

The writer and the approver get an email and a phone notification saying which networks refused it and why. The post shows Failed or Partly published on the Dashboard and Calendar.

  1. Read the reason in the email or on the post. The most common: an account needs reconnecting, a photo is the wrong size, or the text is too long.
  2. Fix the cause, for example reconnect the account on the client's Accounts page.
  3. Open the client's overview (the Failed box on the Dashboard links there). Under Didn't go out, each network's reason is shown. Tap Try again.

Only the networks that refused the post get it again, so nothing is posted twice. If an account still needs reconnecting, Zapket tells you to do that first. If the post itself must change, like a new photo, make a new post: posts that went out, even partly, can't be edited.

Good to know

Zapket already tries each network 3 times, a minute and then five minutes apart, when the network has a short hiccup.

An account says "Needs reconnecting" #

The network signed Zapket out, often because a password changed or the page's admin changed. Posts to it wait. An admin or manager opens the client's Accounts page and taps Reconnect. If the client holds the login, send a connect link.

A post is stuck waiting for approval #

  • Managers and admins can see every late post on the Workload page.
  • For a post waiting on the client, open it on the Approvals page and tap Remind client (once an hour).
  • If the client approved on a call or chat, tap Mark client-approved and note how they approved.

Messages aren't showing in the inbox #

  • Tap Check now. New comments usually take up to 10 minutes.
  • If the inbox says some accounts couldn't be checked, reconnect them.
  • Facebook and Instagram messages need to be turned on by whoever runs Zapket, and the accounts reconnected after.
  • WhatsApp messages need the webhook set up in the Meta app, also by whoever runs Zapket. See Integrations.

A reply won't send #

  • More than 24 hours since the customer's last message on Facebook, Instagram or WhatsApp: reply from the network's own app, or wait for them to write.
  • "Replies to … can't be sent from here yet": reply in that network's app.
  • Account needs reconnecting: tap the Reconnect link shown.

The client didn't get the email or WhatsApp #

  • Ask them to check spam, and that their email on the Team page is right.
  • For WhatsApp, check their number starts with + and the country code, and that approvals on WhatsApp are on. If the last message failed, whoever runs Zapket sees the reason in Integrations.
  • Clients only get messages for clients they're linked to on the Team page.

Numbers are missing #

Numbers arrive every night, so today's posts show tomorrow. A dot instead of a number means the network doesn't share that figure. "When posts do best" needs 12 published posts with numbers.

I don't see something in this guide #

Some things only appear once an admin turns them on (the AI writer, Canva, ads, WhatsApp), and some only for certain roles. Check Who can do what, then ask an admin.
